Who we are and scope

Solvarex LLC (Solvarex, we, us) provides business consulting, managed B2B lead generation, data enrichment, outreach, automation, website development, SEO/GEO and subscription software. This policy covers our website, sales and support communications, and personal data processed in connection with those offerings.

Solvarex LLC operates the website and the services covered by this policy. An address in this notice does not determine the law applicable to an individual's data.

Our role and customer-controlled data

For inquiries, account administration, billing, our own marketing and security, Solvarex determines the purposes of processing. For a customer's CRM records, conversations, campaign lists, appointments or documents that we handle solely on that customer's instructions, the customer generally determines the purposes and we act as a processor or service provider.

Our role in sourced lead data depends on who selects the sources, purposes and recipients. Providing managed services does not automatically make all processing processor-only. Relevant roles, instructions, providers, security, assistance, transfers and return or deletion must be recorded in the service agreement and, where required, a data processing agreement (DPA).

If your information is held in a customer's workspace, contact that organization first. We can help route your request and assist the customer as required; we may not independently change its records without authorization or a legal obligation.

Data categories and sources

Information supplied directly may include your name, work email, telephone, employer, job title, inquiry, proposal requirements, support messages, account details and billing or transaction references. Required website inquiry fields are name, email and message; optional fields include company, telephone and service interest. Without essential information we may be unable to answer or provide the requested service.

Depending on enabled products, customer workspaces may contain business contacts, CRM stages, emails or messages, appointment details, workflow events, documents, signatures, payment status and AI inputs or outputs. Audio or transcripts may be processed if a voice or recording feature is specifically configured; required notices and permissions must precede recording.

Data enrichment may involve customer-supplied records, licensed business-data providers, company websites, professional profiles and other permitted sources. Professional contact data can still be personal data. Public availability does not itself establish consent for marketing.

Hosting and application systems may process IP addresses, device/browser information, timestamps, requested pages, errors and security or usage logs. Do not submit passwords, full card details, government identifiers, health information or other sensitive data through ordinary website inquiry forms.

Purposes and legal grounds

We process relevant information to answer requests, prepare proposals, deliver agreed services, administer subscriptions, provide support, manage billing, protect systems, resolve disputes and meet legal obligations.

Where a lawful basis is required, the appropriate basis depends on the activity and jurisdiction: contractual necessity for an individual's requested service, legal obligations for required records, consent for activities requiring permission, and legitimate interests only where available and supported by a balancing assessment. A corporate customer's contract is not automatically a lawful basis for every prospect's personal data.

For direct marketing where Saudi PDPL applies, required consent and withdrawal procedures must be in place. Other jurisdictions and communication channels may impose additional requirements. Agreement to website terms or acknowledgment of this policy is not blanket marketing consent.

Recipients, integrations and managed lead generation

Information may be disclosed to personnel who need it for their duties and to providers supporting hosting, software infrastructure, email, forms, scheduling, payments, communications or AI features. The website contact form sends submissions through FormSubmit to hello@solvarex.com; external booking links take you to Google Calendar. Other providers depend on the service you select.

Solvarex does not offer direct database sales. We collect each customer's commercial requirements and operate a managed service using platforms selected for that engagement. The service concerns business contacts for commercial purposes. Access to relevant contact records, campaign activity and results by the customer or providers is limited to the agreed workflow and the permissions and licenses applicable to it. This description does not mean professional contact information is exempt from personal-data rules or that every managed-service disclosure has the same legal classification.

Connecting an external account authorizes the permissions you approve for that integration. Independent platforms apply their own notices to processing they control. Providers handling information on our behalf require appropriate contractual controls; a partner listing is not a list of authorized subprocessors.

We may disclose information when legally required, to protect rights or security, or in a business restructuring subject to applicable safeguards. We do not describe all information sharing as consent-based when another basis applies.

AI features and human review

AI features may send configured prompts, conversation context or selected records to the providers used for the feature. Review what data is enabled before use. Processing locations, retention and any model-training use depend on the actual provider and configuration and must be explained in product-specific information and the applicable DPA.

This policy does not assert that every AI provider excludes model training or uses a single retention period. Customers should not enable sensitive-data processing or consequential automated decisions without an agreed assessment, appropriate safeguards and any required legal basis. AI output requires human review.

Cookies, local storage and external links

The website stores cookie choices in browser local storage under solvarex_cookie_consent and solvarex_cookie_prefs. The current interface asks for a new choice after 180 days; browser settings can clear stored preferences earlier. Use Cookie settings in the footer to change optional categories.

We use Google Analytics 4 (GA4), provided by Google, to understand website visits and interactions and improve our website. The Google Analytics script loads only after you allow Analytics cookies. It does not load when you choose essential cookies only. When enabled, Google Analytics may use cookies and process page views, interactions, browser/device information and approximate location. You can withdraw Analytics consent through Cookie settings; this stops further Analytics collection by this website but does not delete information already collected. We do not intentionally send names, email addresses, telephone numbers or inquiry text to Google Analytics. This website does not load Meta Pixel. Hosting logs and external services may process technical information separately.

We also use Solvarex CRM external tracking, served from link.solvarex.com and connected to LeadConnector, only after you allow Analytics. It records page visits, time on page, session identifiers and browser/device information, and automatically detects submissions of forms accessible on the page. It may send the submitted field values, labels and supported attachments to the CRM, including names, email addresses, telephone numbers and message text where those fields are present, and may associate activity with an existing contact. This form data is separate from Google Analytics. Embedded forms or bookings on another domain are governed by their own integration; this script does not establish that all embedded conversions are recorded. Essential-only choices prevent this script from loading. Withdrawing Analytics consent reloads the page to stop this tracker and clears its site session identifier; it does not delete records already collected. We request a new choice when the tracking consent description changes.

Affiliate links may identify the referring partner and the destination may use its own tracking. We may receive a commission from qualifying referrals. Review the destination's privacy and cookie information. This website's cookie choice does not manage settings on independent websites.

International processing

Depending on the service, information may be accessed or processed in the United States and other countries used by the relevant providers and support teams. A US contact address is not a promise that all data is hosted in the United States, nor is there a general promise of Saudi-only hosting.

Before a restricted cross-border transfer, applicable requirements must be assessed and appropriate safeguards established, such as authorized transfer arrangements or contractual safeguards where permitted. Contact us for the locations and safeguards relevant to your proposed service before uploading restricted information.

Retention, deletion and security

Retention depends on the purpose, service term, customer instructions, statutory recordkeeping, disputes and security needs. Inquiry records are retained while needed for handling the inquiry and relevant follow-up; billing records follow applicable recordkeeping requirements. Workspace data, backups and export/deletion periods must be specified for the purchased service rather than assumed from this general notice.

Limited suppression information may be retained to respect opt-outs. Deletion may be restricted by legal obligations or legal holds; backups may require a separate deletion cycle. Relevant timelines should be confirmed before onboarding.

Appropriate organizational and technical safeguards must reflect the data and service risks. No system is completely secure. Report suspected incidents to hello@solvarex.com. Where a breach triggers notification duties, affected customers, individuals or authorities will be notified as required; this notice does not claim a particular certification or universal response time.

Your choices, rights and complaints

Depending on applicable law, you may request information about processing, access or a copy, correction, deletion, restriction, portability, objection or withdrawal of consent. Additional rights may include opting out of regulated sale/sharing or targeted advertising, limiting certain sensitive-data uses and appealing a refusal where applicable. Rights are subject to lawful exceptions.

Email hello@solvarex.com with “Privacy request”, the relevant service and enough information to locate your records. For prospect-data requests, include the professional email or profile concerned. We may proportionately verify identity or an authorized agent, without requesting unnecessary sensitive information. A request is not a marketing subscription.

Marketing emails should provide an unsubscribe option; you can also email us to stop marketing. Necessary account, billing and security messages may continue. We must respond within the deadlines required by applicable law and explain permitted extensions or refusals. You may complain to the competent regulator, including SDAIA where Saudi law applies. Applicable rights will not be conditioned on a purchase or waiver of other rights.

Children and policy changes

Our business website and commercial accounts are intended for adults acting in a professional capacity, not for children. Do not submit children's data through website forms. Customer use cases involving minors require a separate assessment and appropriate arrangements.

We will publish the effective date of updates and provide additional notice or obtain consent where required. An updated privacy notice does not retrospectively create permission for a new use of personal data. Contact hello@solvarex.com using the US contact details above for questions.
